Moving a paper practice online without losing a week
A practical migration checklist for solo therapists and small clinics.

The fear of migration is rarely about software. It is about the fortnight of chaos that usually comes with it. It does not have to. A staged move keeps every session running while the practice changes underneath it.
- Migrate forward, not backward: start with active clients only.
- Two weeks of parallel running removes almost all risk.
- Archive history as attachments rather than retyping it.
Week 0: decide what actually moves
Only active clients need to exist in the new system on day one. Everyone else can be added when they return.
- Active client list with contact details
- Recurring appointment pattern
- Outstanding invoices
- Consent forms in force
Week 1: set the spine up
Configure services and fees, working hours, cancellation policy and note templates before importing anyone. A clean spine avoids re-doing records later.
Week 2: run both systems
Book new sessions in the new system while the old diary stays open as a reference. Write notes only in the new one. Most practices find the paper diary redundant by day four.
Week 3: switch client-facing touchpoints
Turn on automated reminders, share the booking link, and issue invoices digitally. This is the point clients notice, and the feedback is almost always that it feels more professional.
Archiving old files
Do not retype history. Scan closed files and attach them to the client record so they remain searchable and access-controlled without a data entry project.
Practices that migrate in stages typically lose no clinical hours at all. The week everyone fears is a scheduling problem, not a software one.
